We work across Australia, on client sites and through hybrid and remote arrangements. We plan each engagement so our people can work safely and effectively.

Purpose and scope

This policy applies to work Calm Agency arranges or performs through its employees and engaged specialists, whether at a client workplace, from home, remotely or while travelling for an engagement. It describes our operating commitments. Engagement-specific controls, site requirements and commercial terms are confirmed in the relevant contract and work plan.

Our commitment

We aim to eliminate work health and safety risks where reasonably practicable and otherwise minimise them so far as reasonably practicable, in accordance with the law that applies in the place of work. We consult with the people doing the work, identify physical and psychosocial hazards, provide relevant information and support, and review controls when circumstances change. No commercial deadline requires anyone to continue work in conditions they reasonably consider unsafe.

Working with clients

Before attending a client site, we agree the work location, contact person, access and induction, relevant hazards and controls, emergency arrangements, any site-specific requirements and how incidents are reported. Calm Agency and the client each retain their own legal duties. We exchange safety information and coordinate controls for matters affecting the same work; a contract or site rule does not transfer a statutory duty from one party to the other. Our people follow reasonable site safety directions and promptly raise concerns.

Travel and accommodation

We can work across Australia. The need for travel, attendance pattern, booking responsibility and treatment of reasonable transport, accommodation, meals, transfers and cancellation costs are agreed in writing for each engagement. The client may book and pay directly, reimburse agreed actual costs, or agree a defined allowance or inclusive fee. Any approval limits and evidence required for expenses are set out in the contract. We do not assume travel and accommodation are included in a professional fee unless the contract says so. Client billing arrangements do not change any employee entitlement to pay, travel time or allowances under an applicable award, agreement, contract or law.

Travel plans allow for realistic journey times, rest, weather, road conditions and safe accommodation. We avoid schedules that combine extended work and travel in ways that create fatigue. A person may raise a safety concern, change a journey or defer travel where conditions make the planned trip unsafe. Work-related driving is planned with suitable vehicles and licensed drivers. Remote or isolated visits need a communication and check-in arrangement suited to the risk.

Hybrid and remote work

We are willing to deliver work remotely or through a hybrid pattern when the engagement permits it. The agreed arrangement covers availability, collaboration, secure access, equipment and any necessary client-site attendance. We consider workstation set-up, lighting, electrical and trip hazards, breaks, reasonable working hours, isolation, support and emergency contact. Remote work does not remove our safety responsibilities or the worker’s duty to take reasonable care.

Psychological safety and respectful work

We seek clear roles, workable demands, appropriate supervision and respectful conduct. We address risks arising from sustained high workload, fatigue, isolation, bullying, harassment or harmful client interactions. Our people can raise concerns without being expected to manage them alone. We discuss suitable changes with the client when its work or workplace contributes to a risk.

Incidents, review and responsibilities

Workers and specialists are expected to take reasonable care, follow agreed controls, report hazards, injuries and near misses promptly, and cooperate with lawful safety measures. Calm Agency reviews reported concerns and incidents, acts on identified risks and coordinates with the client where relevant. Emergency services are contacted first when required. Notifications to the relevant safety regulator are made when the applicable law requires them; the parties agree who will lead and how they will share information, without displacing either party’s duties.

We review this policy and engagement controls following a material incident, significant change in work or relevant legal change. Engagement-specific questions can be sent through our contact form.

Our approach draws on Safe Work Australia’s working from home guidance, consultation guidance, WorkSafe Victoria’s work-related driving guidance, and Fair Work’s travel entitlements guidance. Applicable legal obligations depend on the jurisdiction and engagement.
